Data We Collect

• Account & Identity Data — name, work email, organisation, job title, country, profile settings
• Content & Files — any files, designs, models, or data you upload or generate
• Tool Inputs & Outputs — parameters, inputs, results, and outputs from any Platform tool
• Usage & Telemetry Data — feature activity, tool interactions, API calls, session logs
• Payment Data — billing address (card data is tokenised by our payment provider; we never store raw card numbers)
• Support & Communication Data — support requests, chat logs, and feedback you submit

How We Use Your Data

We process your data to deliver the Platform, manage your account, enhance Platform quality, ensure security, and meet legal obligations.

Platform Improvement

Niobix uses aggregated and anonymised insights derived from Platform activity to refine and improve how our tools perform. This operates on anonymised, de-identified data — your individual files, business data, and identity are never exposed or attributed to you. This data is never shared with any third party.

To opt out (individual plans): email privacy@niobix.com with subject "Platform Improvement Opt-Out". Requests are processed within 30 days.

Data Storage and Security

• Encryption at rest: AES-256 via AWS SSE-KMS
• Encryption in transit: TLS 1.2 / 1.3
• Access control: AWS IAM + Role-Based Access Control (RBAC)
• Audit logging: AWS CloudTrail
• Incident response: RTO < 4 hrs · RPO < 1 hr · notification within 72 hours

Data Retention

• Uploaded files & Customer Content — deleted within 30 days of account closure
• Tool outputs, results & reports — deleted within 90 days of account closure
• Account & billing records — 7 years (financial/legal compliance)
• Usage telemetry — 13 months rolling

Data Sharing

We do not sell your data. We share data only with trusted infrastructure providers bound by data processing agreements.

Your Rights

Depending on your location, you may have the right to access, correct, delete, or port your data, and to object to or restrict certain processing. To exercise any right, email privacy@niobix.com with subject "Data Rights Request". We will respond within 5 business days.
